After meeting notes
After meeting notes are the recap you write within a day of a conversation: who was there, what was decided, who owns what, what happens next. Here is the version that works when the meeting was with one household and the reader is future-you.

A recap that still has a person
“Remember to Call client” is a reminder that lost its memory.
A recap can list decisions and still fail as a client record. If the next step is stored as a reminder without the conversation that produced it, the advisor has to reconstruct the meeting before acting on the reminder. After meeting notes should keep basic context alive like who was there, what was decided, who owns each item, the next step, a personal signal, and any promise that should return.
The usual AI recap is written for a group. Advisors need a RECAP written for a person.
Search “after meeting notes” and you get the corporate version: a Teams recap, a minutes email, a notetaker summary. Those are built to tell a group what it just agreed, and they are decent at it. They are useless for the question an advisor actually has a month later: what do I need to remember about this family before I speak to them again?
So the recap gets rewritten as tasks. Decisions become “follow up”. Owners disappear. The personal detail that made the conversation specific is the first thing to go. By the next morning you have a calendar block and a thin reminder with no context attached. You would have to rely on your memory that’s constantly being tested with the amount of clients you are handling.
The fix is small. Keep the ingredients a good recap has always had, add the personal signal that minutes leave out, and file it to the client instead of a thread. AlterContacts is built for that hour after the meeting: you say the recap in your own words within a day, and it goes on the client, so it is still there when you next speak to them. Your agency’s CRM and whatever your firm keeps for the record stay where they are. This is the record we mean by clients agents: the recap stays with them after the call.
A twenty-four-hour recap template
Here’s a template for how to structure a recap
The template is small on purpose. Capture the few fields that turn a conversation into a usable after-meeting record. Speak and record them down while the meeting is still distinct.
- 01
Who was there
The client, the household members, anyone else on the call. If a partner, assistant or specialist joined, say so. The note still files under the person the relationship belongs to.
- 02
What was decided
In the client’s terms where you can. Keep a decision apart from a topic that only got discussed. If nothing was decided, say that. A recap full of activity and empty of decisions is a common way to fool yourself.
- 03
Who owns each item
You, the client, or someone else. An open item with no owner is how a recap becomes a reminder that no longer knows who should move.
- 04
The next steps
Name them all, with their timing if you discussed them. If there was no date, leave it open; a made-up deadline is worse than none.
- 05
The personal signal
The human detail that makes the next conversation continuous: a family date, a hesitation, a preference, a life event. Mark whether the client said it or you read it, so later-you does not mistake a guess for a fact.
- 06
The promise
What you said you would send, check or revisit, and anything the client promised in return. AlterContacts brings the promise back with the recap attached, so it arrives with its reason.
A fictional twenty-four-hour recap
Here’s how it would possibly look like
An annual review has just ended. A recap email would list the agenda. The after meeting notes need the decisions, the owners, and the one personal signal that should shape the next contact.
Raw advisor note
“Helen and Priya both on. Decided to keep the current withdrawal pace to year end, no change this quarter. I own the nomination review pack by Friday. Priya owns the new address after the move. Next step: send the pack, then book the October check-in. Personal: their daughter starts uni in September and they sounded more worried about monthly cash flow than about markets. I promised a one-page cash-flow sketch before October.”
Structured memory
Participants: Helen and Priya. Decision: no change to withdrawals this quarter. Owners: advisor, nomination pack by Friday; client, new address after the move. Next step: send pack, then October check-in. Personal signal: daughter starts university in September; cash-flow concern. Promise: one-page cash-flow sketch before October.
Possible next action
File to the household, keep the promise tied to the original note, and surface the pack and the October sketch with the reason visible.
Names and circumstances are fictional. AlterContacts organises what the advisor says. It is neither a compliance record nor a recommendation.
Recap tools compared
Most recap products summarize a meeting. Alter files a recap to a person.
After meeting notes can mean minutes, a recap email or a notetaker summary. Here is where each one stops.
| Method | Best at | What can still go missing |
|---|---|---|
| Jump | An in-meeting operating system for advisors, with CRM write-back from the live conversation. | Built for the hour of the meeting. Your own judgment afterwards, filed to the person, is a different job. |
| Zocks | Meeting notes for advisors without a recording. | Still a meeting-notes product. It stops before the twenty-four-hour recap habit and the follow-up that carries its reason. |
| Granola | Laptop meeting notes with a lighter footprint than a join-the-call bot. | The artifact is the meeting. Owners, next step and a promise that returns on time are left to you. |
| Otter | Transcript and summary of a recorded meeting. | Needs a recording. It captures what was said and stays silent on what you concluded afterwards. |
| Teams Recap / recap email | Circulates decisions, owners and next steps to a group. | Lives in a thread. The personal signal never makes it into anyone’s follow-up. |
| Your spoken recap, filed to the client, with decisions, owners, next step and promises kept together. | It stays out of the meeting itself unless you choose to record, produces no group minutes, and does not replace your firm’s CRM or archive. |
A recap is not the official meeting record
Advisor judgment after the meeting is still useful.
After meeting notes in AlterContacts are your judgment, organised under a client. They help the next conversation. Required minutes, recorded meetings, CRM activities and supervisory archives remain whatever your firm says they are, and you decide what gets copied across.
- 01The recap reflects what you chose to capture within a day of the meeting.
- 02Decisions, observations and promises stay distinguishable.
- 03Alter organises what you say. It gives no advice and is not a compliance record.
- 04Suggested follow-ups stay as drafts until you send them.
Questions advisors ask
Practical answers, without the product fog.
01What are after meeting notes?
The recap written within twenty-four hours of a conversation: who was there, what was decided, who owns each item, and what happens next. In AlterContacts you speak it after the meeting and it files under the client instead of circulating as team minutes.
02How is this different from a Teams Recap or recap email?
A recap email tells a group what happened. After meeting notes in AlterContacts keep the same ingredients, decisions, owners and next step, attached to the household, plus the personal signal a group recap drops. You read it before the next conversation with that client.
03Does Alter join the meeting or record it?
It never joins or listens on its own. You can record an appointment in the app when the client is fine with it, or skip recording and speak your recap afterwards. Either way the recap is yours.
04What should a twenty-four-hour recap include?
Who was there, what was decided, who owns each open item, the single next step, one personal signal, and any promise that should come back. Unknown timing stays unknown.
05Are after meeting notes the official meeting record?
No. AlterContacts organises what you say. Required documentation depends on your firm and jurisdiction, and whatever your procedures need should be copied into the approved system.
